The problem

An exemption certificate on file isn't the same as coverage.

An exemption certificate is your buyer's proof that a sale is tax-free — and your evidence when a state asks. If it’s missing, incomplete, or expired, the exemption is denied, and the uncollected tax becomes yours to pay, with penalties and interest on top.

Filed and forgotten.

Reentering information, requesting replacements, checking buyers state by state, hoping nothing lapsed while you close the month.

One document, many deadlines.

A single certificate can cover a dozen states, and each of them renews on its own schedule.

Now there’s a better way to manage them.

We track them all, inside the same platform that already manages your registrations, filings, notices, and returns.

The solution

How Zamp manages exemption certificates — from upload to audit.

Built on the same AI-native infrastructure as the rest of the platform, with the exceptions surfaced instead of buried — accurate by default, defensible under audit.

Upload once. We read the rest.

Select or drag in any number of certificates from anywhere on the Exemptions page. We pull the details from each one — customer, exemption type, certificate type, covered states, effective and expiration dates —  then file it against the right buyer.

38 certificate types.

SST and MTC multistate forms plus state-specific forms including CDTFA-230, DR-0653, Form 5000A, and OTR-368.

Nothing slips through.

Anything ambiguous will be reviewed, with the specific problem named — missing signature, unreadable date, a blurry scan— so you only manage the exceptions.

Customers created for you.

A buyer who isn't on file yet can be created from the certificate itself, or you can add them by hand.

One certificate. Every state it covers.

A certificate is a promise you're making in every state it covers, and each of those states has its own expiration. We track each one as its own obligation, with its own individual dates and status, so coverage is visible instead of assumed.

Obligation-level tracking.

One SST resale certificate covering California, Texas, and Florida is three obligations, not one single document.

Independent expirations.

Each state can lapse on its own schedule while the document itself stays on file and valid elsewhere.

Coverage at a glance.

View a map of certificate density by state, with a per-state panel showing exactly what's covered.

Know what's expiring before a state asks.

We flag certificates approaching expiration with the exact state and date, and send notifications ahead of time — so you can request the replacement while the exemption is still defensible.

Per-state risk badges.

Expiring in 60 day, 30 day, 7 day increments, expired or no expiration — exemptions are scored per state, not per document.

Email ahead of the date.

Automated notification before a certificate lapses, so the renewal request goes out on time.

One unified view of every buyer.

Each customer has an individual page showing every state they claim exemption in, whether you're tracking it, the dates that tracking covers, and whether the documentation currently supports it.

Tax obligations table.

Per-state status — Exempt, Missing certs, Expires in 30 days, Closed — rolled up to a single report per customer.

Every certificate on file.

All documents for that buyer collected in one place, searchable and filterable by exemption type, document type, state, and expiration window.

Records kept for audit.

Buyers you no longer sell to can be marked inactive, and their history stays on file.

Real tax experts, when you need them.

Our team includes former state auditors and industry veterans. When a complex question comes up — a new SKU, marketplace change, or drop-shipping scenario — you’ll get a fast, clear answer from someone who’s handled it before.

What is Exemption Certificate Management?

It's a tool in Zamp that helps you collect, validate, organize, and monitor exemption and resale certificates — and, most importantly, shows you where your exemption coverage has gaps. It replaces spreadsheets and manual cert tracking.

Do I have to enter all my customers before I start?

No. Just upload your certificates. Zamp reads each one and proposes the customers and state obligations for you to confirm, so setup is fast. You can also add customers manually if you prefer.

How does the certificate upload work?

When you upload a certificate, Zamp automatically extracts the key details — legal name, permit number, state, exemption type, and validity dates — and checks that the form, required fields, and dates are in order. Clean certificates are validated automatically. If something is missing, the certificate is flagged so you know exactly what to fix.

What does "validated" mean — do you confirm certificates are authentic?

Zamp validates the form, required fields, and dates on each certificate. We do not contact state authorities to confirm authenticity, and the seller remains responsible for audit response. What you get is organized, validated records and clear visibility into your coverage.

How do I know where I have coverage gaps?

Your dashboard shows exemption coverage by state at a glance with a coverage heatmap, an "actions needed" list, and a clear status for each obligation: covered, gap, or expiring soon — so you can collect renewals before certificates lapse.

Can I manage certificates in bulk?

Yes. You can review, edit, bulk-approve, and manage certificates and customers from one place.
